Outlook 101:

  1. I have less than 500 emails in my inbox.
  2. I have less than 100 UNREAD emails in my inbox.
  3. I create folders to keep my old emails, and can easily retrieve emails from those folders.
  4. I know what the Ribbon, To-Do Bar, Navigation Pane, and Reading Pane are, and why they are important when reading emails.
  5. I have Outlook automatically bypass my Inbox when I receive low-priority emails, like industry newsletters.
  6. I empty my Deleted Items folder on a regular basis, and it’s extremely rare when I need to retrieve an email from the Deleted Items folder.
  7. I create both Calendar Appointments and Calendar Meetings and understand the difference between these two activities.
  8. I know how to create recurring Appointments and Tasks, as well as set appropriate reminders.
  9. I Complete and Delete Tasks when they are done, and understand the difference between Completing and Deleting Tasks. 
  10. I can import and export my Contacts from/to other database sources, like Excel or business card scanners.

0-6 “Yes”: No worries!  Most professionals only use Outlook for email, but the program can do so much more!  You should consider attending Outlook 101 to minimize the email clutter and discover everything else Outlook can do for your business.  Register for Outlook 101

7-10 “Yes”:  Great!  You’re using Outlook effectively when it comes to the basics, and you should consider optimizing what you’re doing with Outlook 201.  Register for Outlook 201

Outlook 201:

  1. I know what a CRM is, and how Outlook is used as a CRM.
  2. I use Outlook as my Productivity Center (I regularly use the Calendar and Tasks functions) and not just for sending/receiving Emails.
  3. I have my Email Notifications turned off.
  4. I use Categories and color-code various Outlook information, like Calendar Appointments.
  5. I have Outlook automatically sort my Emails according to their priority.
  6. I know how to have Outlook organize my Emails according to Conversations rather than when they have been received.
  7. I know how Outlook can automatically perform several actions at one time, such as moving Emails to a specified folder and color coding it.
  8. I know how to request a Meeting directly from an Email, for those times when a simple reply isn’t enough.
  9. I set deadlines for my Tasks, and never simply Flag important Emails for future follow-up.
  10. I create communication logs with my Contacts, and know how to search for specific information within each Contact.

0-6 “Yes”:  You’ve got more than just the basics down, but you’re not yet using Outlook as a Productivity Center for your business which could greatly increase your business’ efficiency.  You should consider attending Outlook 201 to learn time management tips and help you become a more productive professional using Outlook as a tool.  Register for Outlook 201

7-10 “Yes”:  You’re hired!  Keep up what you’re currently doing, but don’t forget to spend some time playing around with all of the buttons to see what hidden gems you might be overlooking.
